AI Usage Disclaimer & Responsible AI Policy

1. AI Is an Assistive Tool

ScholarSync AI is designed to assist educational users. It is not a substitute for qualified teachers, school administrators, counsellors, educational professionals or institutional decision-makers.

AI-generated content should be treated as a suggestion or draft unless expressly indicated otherwise.

2. AI Can Be Wrong

Artificial-intelligence systems can produce information that is:

• inaccurate;
• incomplete;
• misleading;
• outdated;
• contextually inappropriate;
• biased; or
• entirely fabricated.

An answer that sounds confident is not necessarily correct.

Users should independently review important AI-generated information.

3. Teacher and Human Review

Teachers and institutions remain responsible for decisions concerning:

• grading;
• assessment;
• curriculum;
• disciplinary action;
• student promotion;
• academic intervention;
• learning accommodations;
• admissions;
• student welfare; and
• other consequential educational matters.

AI output should not be the sole basis for a consequential decision affecting a student where human review is reasonably appropriate or required by law.

4. Educational Content

AI-generated questions, explanations, summaries, lesson materials and assessments may not perfectly correspond with a particular curriculum, board, textbook or institutional requirement.

Teachers should review generated material before assigning or publishing it to students.

References to CBSE, ICSE, state boards or other educational standards do not constitute endorsement by those organisations unless expressly stated.

5. Student Use

Students should use ScholarSync AI consistently with instructions from their teachers and institutions.

Students must not represent AI-generated work as entirely their own where disclosure or independent work is required.

ScholarSync does not determine whether a particular use of AI constitutes academic misconduct. That determination remains with the applicable educational institution.

6. No Guaranteed Educational Outcomes

ScholarSync does not guarantee that use of its AI features will:

• improve grades;
• result in examination success;
• guarantee admission;
• accurately predict examination performance;
• identify every learning difficulty; or
• achieve any particular academic outcome.

Analytics and predictions represent informational signals and should be interpreted in context.

7. Student Analytics

AI-assisted analytics may identify patterns in educational information, such as areas in which a student appears to require additional practice.

These signals should not be interpreted as definitive statements regarding a student's intelligence, ability, personality, medical condition or future potential.

Educators should consider the student's broader circumstances and exercise professional judgment.

8. No Medical or Psychological Diagnosis

ScholarSync is not a medical, psychological or diagnostic service.

AI-generated observations must not be treated as diagnoses of learning disabilities, developmental conditions, mental-health conditions or other medical or psychological conditions.

Appropriate qualified professionals should be consulted where such assessment is required.

9. AI and Personal Data

Users should not unnecessarily include personal or sensitive information in AI prompts.

ScholarSync will process information used by AI functionality in accordance with its Privacy Policy, Data Processing Addendum and applicable contractual commitments.

Where ScholarSync states that particular personal information is removed, anonymised, pseudonymised or excluded before being transmitted to an external AI provider, the technical implementation of the relevant feature must conform to that representation.

10. AI Model Training

Customer and student data will not be used to train general-purpose third-party AI models unless this practice has been expressly disclosed and an appropriate lawful basis and contractual framework exist.

Institutional confidential information should not be repurposed for unrelated AI training contrary to ScholarSync's contractual commitments.

11. Bias and Fairness

AI systems can reflect biases contained in training data, model design or user prompts.

Users should consider potential bias when evaluating AI-generated recommendations, particularly where output could affect individual students or groups of students.

AI should not be used to unlawfully discriminate against a student based on protected or sensitive characteristics.

12. Translation and Language Features

Machine-generated translation, transcription and speech functionality may contain errors, particularly with regional terminology, accents, specialised academic vocabulary or mixed-language communication.

Important communications should be reviewed by a competent person where accuracy is consequential.

13. Assessment and Proctoring

Automated assessment-integrity, monitoring or proctoring signals should be treated as indicators rather than conclusive proof of misconduct unless an institution has independently established an appropriate review process.

A student should not be subjected to a consequential disciplinary decision solely because an automated system produced a suspicious score or flag without appropriate human review.

14. Generated Content and Intellectual Property

AI-generated content may resemble existing material and may not always be unique.

Users are responsible for reviewing generated material before publication or commercial use and for complying with applicable copyright and intellectual-property requirements.

ScholarSync does not guarantee that every AI output is eligible for intellectual-property protection or free from third-party claims.

15. Prohibited AI Uses

ScholarSync AI must not be used to:

• exploit or endanger children;
• create unlawful content;
• fabricate official student records;
• impersonate individuals for fraudulent purposes;
• facilitate cyberattacks;
• bypass examination security;
• make unlawful discriminatory decisions;
• violate another person's privacy; or
• circumvent ScholarSync safety systems.

16. Third-Party AI Providers

Some AI functionality may rely on third-party models, APIs or infrastructure.

The availability and behaviour of those systems may change over time.

ScholarSync will select and configure providers in accordance with its applicable privacy, security and contractual obligations, but cannot guarantee that an external AI model will always produce a particular output.

17. Reporting AI Problems

Users are encouraged to report AI outputs that appear:

• materially inaccurate;
• unsafe;
• discriminatory;
• inappropriate for children;
• privacy-invasive; or
• otherwise inconsistent with this policy.

18. Responsible AI Principle

ScholarSync's AI features are intended to support human educational judgment, not replace it.

Where an automated output conflicts with a teacher's informed judgment, verified source material, official curriculum requirement or applicable institutional policy, users should independently evaluate the issue rather than automatically relying on the AI output.
